Employment Verification Letter Template
Prepare an editable employment verification request for the employer to complete and sign.
Employee
Leave blank for the employer to write in.
The date the employee started with this employer.
Choose the type the employee gave you, or leave it for the employer to state.
Pay and hours
Leave blank for the employer to write in. The letter keeps your chosen pay basis.
Rostered hours, excluding overtime. Leave blank for the employer to write in.
Employer
Without a name, the letter is addressed to payroll or human resources.
Request and return
The employer returns the signed letter here. Without your details, it goes back to the employee.
Your letter
Add the employee's name and the employer's business name to finish the letter.
Correct the marked input to update the letter.
Edit any wording here before you print or download. Blank lines are for the employer.
You have edited the letter, so form changes no longer update it.
The letter is a request. The employer confirms each detail by correcting it where needed, then signing and dating it. The entered details remain a draft until then.
Nothing is sent to the employer or the lender, and the page saves nothing you enter. Print prints the letter only.
Employment Facts to Confirm
An employment verification letter asks the employer to confirm facts about an employee's role and pay. Enter details supplied by the client or their documents. Leave unknown details empty so the employer can complete the blank lines.
The Fair Work Ombudsman's pay slip requirements include the pay period, gross and net pay and employer details. A pay slip does not have to show the employee's commencement date or job title. This letter asks for those details alongside the following employment facts.
- Position is the employee's job title with this employer.
- Start date is when the employee started with this employer.
- Employment type is full-time, part-time, casual or fixed-term. A fixed-term contract also has a blank end-date line.
- Base pay is the annual salary or hourly rate before tax. Ask for overtime, allowances or bonuses separately.
- Ordinary hours are the regular weekly hours, excluding overtime.
The template preserves the pay basis you choose. It never converts an annual salary into an hourly rate. For example, entering an annual salary of $85,000 and 38 ordinary hours prints those two facts separately.
Request, Confirmation and Evidence
The generated letter is a request awaiting the employer's confirmation. Filling in the form does not verify employment. The employer must check each detail, correct any errors and complete the confirmation.
The employer confirmation leaves the signer's name, position, phone, email, signature and date empty. The optional employee authority also leaves its signature and date blank. Have the employee sign that authority before asking the employer to release their details.
Add your return details if you want the employer to send the completed request directly to you. This page never contacts the employer or lender. Your entries stay in the browser and disappear when you leave or reload the page.
Compare the returned letter with the payslips and income documents on the loan file. Resolve differences with the employer and update the application before submission. A completed letter still needs the checks required by the lender.
Preparing the Letter for a Lender
Use the named lender's income checklist or broker policy to choose the questions in the letter. Check the evidence required for the client's employment type and each income component you want assessed.
Unloan's income document guide, for example, allows an employer letter in some cases to demonstrate commission and bonuses. That example does not establish another lender's requirements.
Check whether the lender requires its own form, company letterhead or a particular signer. Use the lender's form when required. Optional questions in this template ask about overtime, allowances, bonus or commission, probation and notice of employment ending.
Edit the letter text to add lender-specific questions or wording. Copy, download and print all use your edited text. After you edit, form changes stop replacing the letter until you select Discard edits and rebuild from the form.
