Mortgage Broker CPD: Requirements and Records

Track My Trail Team

Mortgage broker CPD means continuing professional development: eligible learning that keeps your broking knowledge current, backed by a record of what you completed. MFAA requires 30 hours per membership renewal year. FBAA requires at least 25 hours in its renewal year. Your licensee’s training program applies alongside association rules.

Count accepted learning against each obligation separately. A full attendance certificate can still leave a shortfall if the activity exceeds a category cap or falls outside your cycle.

Identify Every Requirement That Applies

Start with your role, membership category and the training program attached to your authorisation. Keep a separate requirement row for each body, including its cycle and completion deadline.

The Australian Securities and Investments Commission (ASIC) sets out its expectations in Regulatory Guide 206: Credit licensing: Competence and training. Credit licensees must maintain organisational competence and ensure their representatives are adequately trained for their authorised activities. RG 206.23 specifies at least 20 CPD hours each year for representatives providing third-party home loan credit assistance.

That figure is role-specific. RG 206 also treats responsible managers and representatives dealing only with their own licensee’s products separately. Do not turn an association membership total into a universal statutory requirement.

Obtain your licensee’s written program before choosing activities. Record required topics, any assessments, the reporting system and who approves completion. An aggregator training calendar only answers the licensee question when it is the program that applies to your authorisation.

Your Australian mortgage broker licence or credit representative authorisation determines the activities for which you must remain competent. A change in role or membership category calls for a fresh review of the requirements.

Compare MFAA and FBAA Rules

The Mortgage and Finance Association of Australia (MFAA) and Finance Brokers Association of Australasia (FBAA) publish time-based CPD rules. A CPD hour is a unit of eligible learning time. Where a provider advertises “CPD points”, use the allocation accepted by your body instead of assuming a point equals an hour.

Requirement MFAA FBAA
Membership total and cycle 30 hours per membership renewal year At least 25 hours per renewal year, based on your membership anniversary
General time calculation Generally one hour of completed activity earns one CPD hour One hour of relevant educational content generally earns one CPD hour, within the activity category
Courses and organised sessions Courses and workshops capped at 25 hours per renewal year PD days, seminars, presentations and workshops capped at 12 hours per renewal year
Other learning limits BDM meetings capped at 12 hours; mentoring at 18 hours per renewal year Self-education capped at 6 hours; mentoring at 15 hours per renewal year; conferences at 8 hours per conference day
Recording completion Member portal or your own record; members attest at renewal CPD card or Education Institute record, including external activities

Use the MFAA CPD activity rules and FBAA categories and allocated hours for the category you intend to claim. Both publish additional categories and qualification conditions. For example, FBAA limits the Certificate IV allocation to the first renewal where the qualification was completed immediately before joining.

The comparison explains membership CPD. It does not replace your personal membership conditions or licensee program. An activity can satisfy both programs only when each accepts its content and evidence within the relevant cycle. Neither automatic duplication nor adding all headline totals gives a reliable completion target.

For the wider membership decision, compare what MFAA membership includes with FBAA membership.

Confirm Activity Eligibility

Confirm the credit you can claim before booking a session. The event title and advertised duration do not establish the accepted allocation.

  1. Match the learning to your role and the body’s activity category. Save the session outline and any accreditation code or written allocation.
  2. Check the remaining category allowance in your cycle. Apply any limit before adding hours to your completed total.
  3. Identify the completion conditions. Record whether attendance, a quiz or another assessment is required, and obtain proof when you finish.
  4. Assess the same activity against your licensee’s program. Record the licensee’s accepted allocation separately if it differs.

Free CPD hours follow the same eligibility rules as paid learning. A free lender webinar can qualify, but its price says nothing about its credit. A provider certificate proves only what it actually records: attendance, completion or an assessment result.

Incorrect claim: count the full duration of an aggregator event, including networking and breaks, because the invitation mentions CPD.

Correct claim: count the eligible educational time accepted for your category, supported by completion evidence and kept within its cap.

Mandatory workplace training needs the same assessment. RG 206.97 permits relevant internal systems, procedures and policy training, while stating that this category must not make up most CPD hours. Association recognition remains a separate question.

Verifiable CPD means the activity and completion can be substantiated. A certificate or attendance record can help do that. For self-directed learning without a certificate, keep the material, time spent and a learning note, then apply the body’s self-education rules. Logging unsupported time does not make it accepted credit.

Record an ethics category only when the relevant program recognises the activity in that category. A course about ethical decisions does not automatically meet a different profession’s verifiable ethics requirement. A broker who also provides financial advice must keep that role’s obligations separate.

Keep a CPD Completion Record

Keep one activity register with separate acceptance fields for every obligation. A spreadsheet can work if its totals separate cycles and exclude pending or rejected claims.

Use the following fields for each activity.

  • Broker name and membership or representative identifier.
  • Body or licensee, membership category and applicable cycle.
  • Activity date, title and provider.
  • Learning category, educational duration and claimed credit.
  • Accreditation reference, completion conditions and proof location.
  • Accepted credit, reviewer name, review decision and reason for any adjustment.
  • Portal entry reference and reconciliation status.

Diarise each completion deadline when the cycle begins, with an earlier review reminder. Save certificates where you can produce them on request. Before counting aggregator training, establish which body accredits it and how much of the session qualifies.

A Hypothetical Completion Record

A broker completes a one-hour lender policy webinar during their membership cycle. The provider’s written allocation confirms one eligible hour and the broker saves a named completion certificate.

The activity row records “Lender policy webinar”, the provider, activity date and certificate path. Its body field identifies MFAA and its category follows the recognised allocation. Claimed and accepted credit are each one hour, subject to the remaining category allowance. The review decision records who checked the allocation and when.

Create a separate acceptance entry for the licensee. If the licensee also accepts the webinar, link that decision to the same evidence. Keep the actual learning duration at one hour throughout the record.

MFAA permits your own register and specifies the member’s name, activity date, provider, description and hours earned. Keep proof such as certificates or confirmation emails with it. For FBAA, its CPD recording instructions explain how to add external activities through the Education Institute and download a statement.

After recording the session, compare the portal entry with your register. Resolve missing entries or different allocations while the provider can still retrieve the attendance record.

Resolve Gaps Before Renewal

Calculate the shortfall from accepted credit in the correct cycle. Separate missing learning from missing evidence, because each needs a different response.

In a hypothetical calculation, a broker has a verified requirement of 30 hours. Your register shows 28 claimed hours, but two hours are pending proof and one exceeds a category cap. The accepted total is 25 hours, leaving five hours to complete or substantiate. The calculation assumes the category decisions are already established.

Retrieve the two missing hours of evidence first. If accepted, those hours reduce the gap to three. Plan eligible learning for the remaining gap in categories with room available.

Review category requirements even when the headline total is met. A licensee’s required assessment can remain incomplete despite enough association hours.

Send uncertain eligibility to the relevant body with the outline, duration and completion proof. Ask the licensee about its own program. If you need an extension, request it through the body’s process and retain the decision. A request alone does not move the deadline or complete the obligation.

Demonstrate Compliance in a Brokerage Review

A brokerage review must connect each person’s accepted total to retrievable evidence. A shared training calendar can show planned attendance, but the completion register must show what each broker finished.

  1. Retrieve the register and certificates for the selected broker and cycle. Confirm that each evidence link opens and identifies the activity completed.
  2. Reconcile the register with required association and licensee portals. Investigate differences by activity instead of adjusting the total without a reason.
  3. Check caps, compulsory topics and assessments against the applicable program. Record accepted totals and any remaining action for each obligation.
  4. Have the person responsible under the licensee’s supervision process review the outcome. Record who owns each unresolved item and its deadline.

The review is complete when the accepted totals and required activities meet each applicable program, with evidence available for inspection. Keep rejected claims and their reasons traceable so they are not accidentally counted again.

Store practical file-learning notes separately from obligation evidence. A useful discussion about a difficult application can improve your work without qualifying for CPD credit.

Make CPD Improve Your Files

Use a working-week routine to keep learning connected to the applications you handle. Reserve a fixed fortnightly hour for a business development manager (BDM) or aggregator session. Check its eligible allocation before adding it to the CPD register.

Skim lender policy updates weekly and file useful changes by scenario, such as self-employed income or construction lending. Treat this reading as a learning habit and claim credit only within the applicable rules. Choose one deeper course each year in a specialty relevant to your files.

For broader skills and career choices, use the mortgage broker professional development guide. Keep the compulsory CPD register focused on accepted learning and completion evidence.

After each session, write down one change to make on your next relevant file. You might add a document check discussed in the session, then note whether it prevented a follow-up request. At your next learning review, check whether that change worked and decide what to keep.
