An AI receptionist answers your brokerage’s calls, takes a message and can book an appointment while you are with another client. It is useful for missed calls and after-hours enquiries when its job stays limited to reception. Keep loan recommendations and rate discussions with an authorised broker.
What an AI Receptionist Does
An AI receptionist uses speech recognition to turn a caller’s words into text, generates a reply and reads that reply aloud. An AI voice agent is the broader category of software that holds spoken conversations. A phone receptionist is one use of it.
You can divert unanswered calls from your existing number or use a separate number. The receptionist follows instructions about your business hours and the enquiries it can handle. With an appropriate calendar connection, it checks available appointments and writes a booking. Otherwise, it takes a callback request.
For a brokerage, a useful call ends with a confirmed callback number, a broad reason for calling and a clear next step. A short summary can go to the broker or into the customer relationship management system (CRM). The integration determines what actually reaches the client record.
For example, a prospective client calls while you are in a settlement meeting. The receptionist identifies itself as AI, explains its data handling and asks whether the caller wants an appointment. It confirms the time and contact details. The broker handles the lending conversation at the appointment.
Is an AI Receptionist Worth It for a Brokerage?
Yes, an AI receptionist can be worth it when unanswered calls regularly become lost enquiries and your team can follow up the messages it captures. Overflow answering is a sensible starting point for a brokerage that already answers most calls itself.
The benefit comes from getting a caller to the next useful step. A booking helps only if the calendar is accurate. A message helps only if someone owns the callback. Compare completed appointments and successful callbacks with the calls your current voicemail receives.
Caller experience changes the calculation. Background noise can cause transcription errors, and an unfamiliar name needs confirmation. A caller discussing hardship or a complaint needs a route to a person. A human receptionist is a better fit when calls regularly need judgement or lengthy explanations.
Costs usually combine a recurring plan with an allowance of call minutes. Extra minutes or text messages can cost more. Some providers quote for configuration and ongoing service. Compare the total at your expected call length and volume, including transfers, integrations and any setup work. Ask whether the quote includes GST and whether unused allowances expire.
Start with a defined reception task. Measure how many calls produce usable messages, how often bookings need correction and how quickly the team responds. Retain a human answering option if the service struggles with your callers.
Client Data the Receptionist Collects
An AI receptionist can collect the caller’s phone number, their spoken details and a recording or transcript. It can also generate a summary and keep call metadata, such as duration and routing. A caller can disclose financial or health information even when the script never asks for it.
Keep the intake short. A name and callback number may be enough, with an appointment preference if needed. Ask for a broad enquiry type instead of income, account numbers or identification documents. Send document collection through your approved client process.
Recordings do not necessarily stay in the same place as the booking record. Audio can sit with a voice provider while transcripts and summaries sit in the receptionist dashboard. Copies can also reach your CRM or email. Australian storage for one database does not establish that speech processing and support access stay in Australia.
Map those copies before switching the service on. Identify each processor and country, who can access the data and whether it is used to train models. Set retention separately for audio and transcripts. Deleting a dashboard message must also address retained provider copies under the agreed terms.
The Office of the Australian Information Commissioner (OAIC) recommends clearly identifying public-facing AI tools as AI. Its commercial AI privacy guidance also covers collection and disclosure through these systems.
Where the Australian Privacy Principles (APPs) apply, give callers an appropriate collection notice. Explain who collects their details, why and the usual disclosures. Include overseas disclosures and a way to access the privacy policy. The OAIC’s APP 5 guidance explains the notice requirements and telephone delivery.
A collection notice and recording consent have different jobs. Configure recording to obtain the consent required for the call before recording begins. Provide a practical alternative for callers who decline, such as an unrecorded human callback. The record phone call guide explains the jurisdiction checks. Use the privacy collection notice to prepare the information callers need.
What It Must Not Say to Callers
An AI receptionist for a brokerage must stay within an approved reception script and hand credit assistance to an authorised broker. It must not recommend a particular loan, tell someone to stay with their lender or help complete a particular loan application.
Section 8 of the National Consumer Credit Protection Act 2009 defines credit assistance through activities involving particular credit contracts. Australian Securities and Investments Commission (ASIC) Regulatory Guide 203, Do I need a credit licence? explains the boundary. Software answering on your behalf does not remove the brokerage’s licensing obligations.
Use a stricter operating rule for the receptionist: it must not quote interest rates or estimate borrowing capacity. A generic published rate is not automatically credit assistance, but a conversational answer can become a personalised suggestion. An outdated rate can also mislead a caller.
Give the receptionist approved responses for predictable requests.
| Caller Request | Response to Avoid | Reception Response |
|---|---|---|
| Which lender is best for me? | A named lender recommendation | An authorised broker can discuss your needs. I can arrange a callback. |
| What rate will I get? | A rate or approval promise | A broker will discuss rates after reviewing your circumstances. |
| Can you submit my application? | Collecting answers to complete a particular application | I can connect you with the broker handling your application. |
| Should I keep my current loan? | A suggestion to remain in that contract | I can book a loan review with a broker. |
Exclude lender rate sheets and client loan files from the receptionist’s answer material. Give it a fallback for questions outside its script. Before launch, use fictional calls to check that it escalates repeated requests for a recommendation. Listen to the answers, then inspect the saved message for invented details.
Choosing an Australian AI Receptionist
Choose an Australian AI receptionist by its call handling and written data terms, with a clear route to human help. An Australian phone number alone establishes neither Australian data processing nor suitability for a brokerage.
Compare these requirements before authorising live calls:
- A local number or diversion arrangement that preserves your existing business number and gives you an exit route.
- Recording controls that support your consent process, including callers who refuse recording.
- A documented list of processors and processing locations, with retention and deletion terms.
- Restricted staff access and a way to export the records your brokerage must retain.
- A calendar connection that handles your time zone, availability and appointment changes.
- A CRM integration that specifies the fields written, access permissions and what happens when a write fails.
- A human transfer or callback process for complaints, hardship and requests outside reception.
Ask the provider to demonstrate your approved script using fictional client details. Confirm that a booking appears in the intended calendar and a failed transfer produces a callback task. Check that a recording refusal follows the promised alternative. These are acceptance checks for your setup, not reasons to put real client files into a demonstration.
Give one person responsibility for reviewing errors and approving script changes. A receptionist connected to a calendar still needs supervision when appointments or staff responsibilities change.
Website Chatbots
An AI chatbot for a website handles typed messages, while a phone receptionist handles spoken calls. A website chatbot can answer approved questions and collect appointment requests without recording a voice conversation. It still collects personal information when a visitor types identifying details.
Apply the same limits on recommendations and client information. Identify the chatbot as AI and show the collection notice before asking for details. Remove document upload unless your approved process needs it. Check where chat histories go, whether model training uses them and how your staff receive a handover.
A phone service suits callers who already use your business number. A website chatbot suits visitors who want to type an enquiry. Pick the channel your clients use, then give it a narrow reception task and a reliable human handover.
